This Privacy Policy applies to tentaclick.co, the Tentaclick website tools and audit widgets, email or chat enquiries, System Audit bookings, audit delivery, system builds, monthly services, and related communications.
References to "Tentaclick," "we," "us," and "our" mean the operator of the Tentaclick website and services, and any Tentaclick business entity, trading name, or contractor identified in an order form, checkout, invoice, proposal, statement of work, or signed agreement.
If a client agreement, data processing agreement, or platform contract applies to a specific service, that document may add more detailed privacy, security, and processing terms.
2. Controller and Contact
For website enquiries, audit bookings, sales communications, and Tentaclick-managed service delivery, Tentaclick acts as the business responsible for deciding how that personal information is used.
For personal information inside a client's own customer database, CRM, call logs, quote history, calendar, email list, or messaging tools, the client usually remains the business responsible for that information. Tentaclick acts as a service provider or processor when we handle that information for the client under instructions.

3. Personal Information We Collect
The personal information we collect depends on how you use Tentaclick. It may include:
- Contact details: name, business name, role, email address, phone number, website, location, and social profile links.
- Booking and audit details: selected call times, audit notes, business goals, current tools, enquiry channels, missed-call or form examples, quote process details, customer handoff details, reporting gaps, and access requirements.
- Payment and billing details: billing name, company details, billing address, transaction status, invoices, receipts, tax details, payment method metadata, and payment processor records. We do not intentionally store full card numbers on our own website.
- Website and device data: IP address, approximate location, browser, device type, pages viewed, referring page, timestamps, clicks, form activity, and cookie or analytics identifiers.
- Communication data: emails, chat messages, call notes, support messages, opt-in or opt-out records, and records of consent or preferences.
- Client system data: CRM data, customer contact records, call records, message logs, quote status, booking history, review request status, reactivation lists, workflow data, reporting data, and other information a client provides or connects for audit, build, or service delivery.
- Public business information: information from your website, public business profiles, search results, review profiles, social pages, directories, or other public sources when used for fit checks, audit prep, outreach, or business research.
4. Sensitive Information
Tentaclick is not designed to collect sensitive personal information unless it is strictly needed for a scoped service. Do not send health data, government identifiers, payment card numbers, passwords, special-category data, children's data, or other sensitive information unless we have agreed in writing that it is necessary and how it will be handled.
If a client operates in a regulated industry, the client is responsible for telling Tentaclick before sharing regulated or sensitive information so the right scope, access, and safeguards can be agreed.
5. Sources of Information
We collect information directly from you when you fill in a form, use a tool, book an audit, buy a service, email us, chat with us, join a call, or provide access to business systems.
We may also collect information from third-party platforms you connect or authorize, from payment processors, booking tools, CRM and marketing platforms, analytics tools, email and SMS providers, public websites, public business profiles, referral sources, and other service providers used to operate Tentaclick.
6. How We Use Personal Information
We use personal information to:
- Operate the website, calculators, audit widgets, forms, booking flows, and contact channels.
- Respond to enquiries, qualify fit, schedule calls, deliver System Audits, and prepare recommendations.
- Build, configure, test, maintain, and tune marketing systems for clients.
- Send service messages, reminders, invoices, receipts, onboarding requests, reports, support replies, and operational updates.
- Process payments, manage billing, collect amounts owed, and keep tax and accounting records.
- Monitor website performance, debug errors, protect against fraud or misuse, and improve the website and services.
- Send marketing communications where allowed, including follow-up about Tentaclick services, tools, content, or audit availability.
- Create internal notes, audit records, support records, training material, and service improvement data.

We do not sell personal information. We do not knowingly share personal information for cross-context behavioral advertising on this website. If advertising pixels or retargeting are added later, this policy and any required choices should be updated before launch.
9. Client Data and Service Provider Role
When Tentaclick handles a client's customer data to provide an audit, build, support, or monthly service, we use that information to provide the service to that client. We do not use client customer data to market directly to those customers for Tentaclick's own purposes unless the client has instructed or authorized that use and the law allows it.
Clients are responsible for making sure they have the right to provide customer data to Tentaclick and for giving any notices, obtaining any consents, and honoring any rights requests required for their own customers.
If a formal data processing agreement is needed, request it before sharing customer data that requires one.
10. Cookies, Analytics, and Similar Technologies
The website may use cookies, pixels, local storage, server logs, and similar technologies to run the site, remember preferences, measure traffic, understand page performance, protect against abuse, and improve content.
Some cookies are necessary for the site to work. Analytics or marketing cookies should be controlled through the cookie or consent tools available on the live site where required. You can also adjust browser settings to block or delete cookies, but some features may not work correctly.
The current static mockup may not contain the final analytics, cookie banner, booking embed, payment checkout, or chat stack. The live site should be checked before publishing to confirm the exact tools in use match this policy.
11. Payments
Payments may be processed by third-party payment processors. Tentaclick may receive payment status, transaction identifiers, billing contact details, invoice details, and limited payment method metadata. Full card details are handled by the payment processor, not intentionally stored by Tentaclick on its own website.
Payment processors have their own privacy and security practices. Review their terms and privacy notices when you pay through their checkout.
12. Marketing Communications
We may send marketing emails or business follow-up where allowed by law. You can unsubscribe from marketing emails through the link in the message or by contacting us.
Service messages, audit messages, invoices, booking reminders, security messages, and operational communications are not marketing and may still be sent when needed to provide services or manage an account.
If SMS or call features are used, opt-out instructions should be included where required. Replying STOP to an SMS should stop further SMS marketing or automated messages from that number where supported by the provider.
13. International Transfers
Tentaclick may work with visitors, clients, contractors, and service providers in multiple countries. Personal information may be processed in countries other than where you live, including countries with different data protection laws.
Where EU or UK transfer rules apply, we use appropriate safeguards where required, such as contracts, platform transfer terms, adequacy decisions, or other lawful transfer mechanisms available for the service.
14. How Long We Keep Information
We keep personal information only as long as needed for the purpose collected, unless a longer period is required for legal, tax, accounting, security, dispute, or business continuity reasons.
Typical retention periods are:
- Website enquiries and sales conversations: up to 24 months after the last meaningful interaction, unless the relationship continues or a shorter deletion request applies.
- Audit records: up to 24 months after delivery, unless needed for an active client relationship, dispute, legal obligation, or agreed service history.
- Client service records: for the service term plus up to 24 months, unless a longer period is needed for continuity, support, legal, tax, or dispute reasons.
- Billing, payment, tax, and accounting records: up to 7 years or the period required by applicable law.
- Website analytics and logs: usually shorter, based on the analytics or hosting provider settings.
Backups may retain information for a limited period after deletion from active systems.
15. Security
We use reasonable technical and organizational safeguards for the size and nature of the business, including access controls, role-based permissions where available, service provider controls, and practical limits on who can access client data.
No website, email account, messaging channel, CRM, automation platform, or cloud system is perfectly secure. Do not send passwords, payment card numbers, regulated data, or sensitive information through plain email or chat when a safer method is available.

- SMS: use the opt-out instruction in the message where available, such as STOP.
- Cookies: use browser controls or the live site's consent controls where available.
- Access changes: ask us to remove access to your systems when a project or service ends.
- Client customer data: if you are a customer's customer, contact the business you dealt with first. Tentaclick may need to route the request to that client.

Tentaclick is for businesses and is not directed to children. We do not knowingly collect personal information from children through the website. If you believe a child has provided personal information, contact us so we can review and delete it where appropriate.
